1. Introduction

These Terms & Conditions apply to all vendors operating handicraft, mehndi, and other non-food stalls (“Vendors”) at the Indian Food Festival (“Event”), organized by the Event Management Team (“Organizer”).

Participation in the Event constitutes acceptance of these terms.


2. Vendor Categories

2.1 Handicrafts and Other Stalls

Includes vendors selling handmade goods, cultural items, accessories, or offering non-food services.

Requirements:

  • Register the stall with complete and accurate information, including business name, contact details, and product/service information
  • Ensure all products comply with applicable safety and legal standards
  • Maintain a clean, safe, and professional stall environment always
  • Hold valid liability insurance to cover potential accidents, damages, or claims

2.2 Mehndi (Henna) Stalls

Includes vendors providing mehndi/henna application services.

Requirements:

  • Register the stall with complete and accurate information, including business name, contact details, and service description
  • Maintain high standards of hygiene and cleanliness
  • Use disposable cones or tools for each client
  • Sanitize hands before and after each application
  • Clearly display the ingredients used in the mehndi paste
  • Use only natural, skin-safe products
  • Be prepared to provide ingredient details to clients upon request
  • Offer patch tests for clients with sensitive skin or allergies

3. Stall Allocation and Setup

  • Stall allocation is subject to availability and Organizer approval
  • Vendors must adhere to the assigned stall space and setup guidelines
  • Setup and dismantling must be completed within the timelines provided by the Organizer
  • Vendors are responsible for their own stall materials, decorations, and equipment unless otherwise agreed

4. Fees and Payments

  • Participation fees (if applicable) must be paid in advance to confirm booking
  • Fees are non-refundable unless the Event is cancelled by the Organizer
  • Additional charges may apply for special requirements (e.g., electricity, extra space)

5. Health, Safety, and Compliance

  • Vendors must comply with all applicable Belgian laws and regulations
  • All stalls must operate in a manner that ensures public safety
  • The Organizer reserves the right to inspect stalls and enforce compliance
  • Non-compliance may result in immediate closure of the stall without refund

6. Insurance and Liability

  • Vendors are required to hold valid liability insurance
  • The Organizer is not responsible for loss, theft, or damage to vendor property
  • Vendors are liable for any damage caused to the venue or third parties

7. Code of Conduct

  • Vendors must behave professionally and respectfully toward customers, staff, and other participants
  • Misleading claims, unsafe practices, or inappropriate conduct will not be tolerated
  • The Organizer reserves the right to remove any Vendor violating these terms

8. Media and Promotion

  • Vendors grant the Organizer permission to use images or videos of stalls for promotional purposes
  • No additional compensation will be provided for such usage

9. Cancellation Policy

  • Vendors must notify the Organizer promptly before 15 days in case of cancellation
  • The Organizer reserves the right to cancel or modify stall arrangements due to unforeseen circumstances

10. Acceptance of Terms

By participating in the Event, Vendors confirm that they have read, understood, and agreed to these Terms & Conditions.
