1. Introduction

These Terms & Conditions govern the participation of performing artists, volunteers, freelance professionals, and cultural organizations (“Participants”) in the Indian Food Festival (“Event”), organized by the Event Management Team (“Organizer”).

By agreeing to participate, all Participants confirm acceptance of the terms outlined below.


2. Categories of Participation

2.1 Volunteers

Volunteers contribute to the success of the Event through artistic or supportive roles.

Benefits:

  • Volunteer allowance in accordance with Belgian regulations
  • Food and/or transport allowance (as applicable)
  • Liability insurance coverage provided by the Organizer
  • Certificate of participation (as applicable)

2.2 Freelance Professionals or Companies

Professional performers, artists, or event specialists offering services on a contractual basis.

Benefits:

  • Compensation based on an agreed hourly or daily rate
  • Payment terms to be defined in an individual agreement

2.3 Cultural Organizations

Registered groups, academies, or associations showcasing cultural performances.

Benefits:

  • Opportunity to represent your state, region, or language on a vibrant cultural stage
  • Visibility and recognition through participation in a high-footfall cultural event
  • Option for a representative (e.g., Founder or President) to briefly introduce the group on stage, subject to schedule and organizer approval
  • Food allowance (as applicable)

3. Selection and Participation

  • All Participants are selected based on relevance, quality, and event requirements.
  • Final participation is subject to approval by the Organizer.
  • Performance slots are allocated based on availability and program structure.
  • The Organizer reserves the right to modify schedules as necessary.

4. Performance Requirements

  • Participants must adhere to agreed performance duration and schedule.
  • Content must be culturally appropriate and suitable for a diverse public audience.
  • Participants are responsible for bringing necessary costumes, instruments, or materials unless otherwise agreed.
  • Sound and technical support will be provided only if pre-approved.

5. Compensation and Allowances

  • Payments (if applicable) will be processed after successful completion of the performance, unless otherwise agreed in writing.
  • Volunteers are not entitled to wages beyond the stated allowances.
  • All payments comply with applicable Belgian laws and regulations.

6. Insurance and Liability

  • The Organizer provides liability insurance coverage for volunteers during the Event.
  • Participants are responsible for their personal belongings and equipment.
  • The Organizer is not liable for loss, theft, or damage to personal property.

7. Code of Conduct

  • Participants must act professionally and respectfully toward audiences, staff, and other performers.
  • Discrimination, harassment, or inappropriate behavior will not be tolerated.
  • The Organizer reserves the right to remove any Participant who violates these standards.

8. Media and Promotion

  • Participants grant the Organizer the right to use photos, videos, and recordings of performances for promotional purposes.
  • No additional compensation will be provided for such usage unless agreed separately.

9. Cancellation Policy

  • Participants must inform the Organizer as soon as possible in case of cancellation.
  • The Organizer reserves the right to cancel or reschedule performances due to unforeseen circumstances.
  • Compensation for cancelled performances will be determined on a case-by-case basis.

10. Compliance with Laws

  • All Participants must comply with Belgian laws, including regulations related to volunteering, freelance work, and taxation.
  • Participants are responsible for declaring income where applicable.

11. Acceptance of Terms

Participation in the Event constitutes full acceptance of these Terms & Conditions.
